Booking Agreement Terms & Conditions
The following terms and conditions apply to your booking. They form the terms of a legally binding contract between us and you.
Enquiries
An enquiry does not constitute a booking.
Quotes & Reservation of Dates
We will provide you with a quote for your stay as per your enquiry. Dates will only be reserved when you have accepted the quote. We will email you a booking confirmation upon acceptance of our quote, pending payment.
Payment and Securing your Booking
Bookings will only be fully secured once payment has been made and processed. (This may be a deposit depending on time between booking and stay). Failure to make payment after 24 hours will result in booking dates being released.
Restriction on Bookings
Bookings will not be accepted for children under the age of 18 unless accompanied by a responsible adult.
Price
The price payable includes your chosen accommodation for the number of nights stated on your booking.
The price includes gas, electricity, bedding, towels and VAT.
Deposit and balance
A deposit is required at the time of booking.
If you book more than 6 weeks before arrival, the non-refundable deposit will be 25% of the total cost.
The balance of the money due becomes payable 6 weeks before arrival. The balance will be taken from the same credit / debit card that was used to pay the balance automatically on the due date. Should you wish to pay with an alternative card, please do so using the link in the confirmation email before the due date. Failure to pay this balance amounts to cancellation and we are entitled to re-let your accommodation.
If you book 6 weeks or less before arrival you will be required to pay the full amount due for the whole of your stay.
Payment methods
We accept secure SSL payment by credit or debit card via Stripe . There is a charge of 1.5% for credit card payments, debit card payments are free.
Cancellation by you
If you cancel more than 6 weeks before arrival you will lose your deposit, but will not be charged for the remainder of your booking. If you cancel 6 weeks or less before arrival, or fail to check in (“no-show”), or leave before your due departure date, we reserve the right to retain the full balance paid for the whole of your booking, less any costs saved by us as a result of your cancellation, for example if we are able to re-let your accommodation.
Cancellations must be made or confirmed in writing.
It is recommended that you take out travel insurance which provides for cancellation cover.
Cancellation by us
In the unlikely event that we are forced to cancel your booking we will attempt to offer you alternative accommodation. If suitable accommodation is not available (or acceptable to you) then we will refund all monies already paid by you and confirm that you will not be liable for any further payments to us. In any circumstances where you are entitled to compensation, the limit of our liability to you arising from our breach of contract will be up to a maximum of the cost of your booking. If suitable alternative accommodation is available, then this will not be regarded as breach of contract on our part and no compensation will be payable in those circumstances.
Amendment by us
If you have booked specific accommodation we will try to ensure that this accommodation is available to you. We do however reserve the right to change that accommodation. If this change is not acceptable, you have the right to treat the booking as being cancelled and we will refund all monies already paid by you and confirm that you will not be liable for any further payments to us. In any circumstances where you are entitled to compensation, the limit of our liability to you arising from our breach of contract will be up to a maximum of the cost of your booking. If suitable alternative accommodation is available, then this will not be regarded as breach of contract on our part and no compensation will be payable in those circumstances.
If you accept the new accommodation and the new accommodation is normally charged at a lower rate, then the difference will be deducted from the final balance due from you (or refunded to you in the event that the final balance has already been paid). If the new accommodation is normally charged at a higher rate then you will not be charged the difference. This is the limit of our liability to you in these circumstances.
Amendment by you
If you wish to amend your booking you must let us know as soon as possible. At our discretion, we may allow a change of dates rather than cancellation. In this case will charge a £40 admin fee. A change of dates will not be allowed if the booking starts within six weeks.
Arrival and Departure
Your accommodation will be available to you from 4pm.
You are required to leave by 10 am on the day of departure. If you fail to do so, we reserve the right to charge for any loss we incur as a consequence of this.
The accommodation must be left in a clean and tidy condition and we reserve the right to charge you if in our opinion the accommodation needs additional cleaning than would otherwise be reasonably expected.
Security deposit
We will pre authorise your credit / debit card for £150 by way of security / good house keeping deposit. Charges payable by you due to your breach of our Damage and Breakage, Smoking, Occupancy, Pet, or hot tub policies (or if a cleaning charge is levied on departure) will be deducted from the security deposit. No monies will be taken from your card unless there are extras to be paid for or a breach of the above. If the charges payable by you exceed the amount paid under the security deposit, then you will remain liable for the balance.
Inventory and Appliances
An inventory of all contents will be in the accommodation. This should be checked and any deficiencies notified immediately. If you discover a problem with any appliance you should notify us immediately and not attempt repair yourself.
Damage, Loss and Breakage
We are sure that you will take care whilst you stay with us, and we acknowledge that accidents sometimes happen. All damage, loss or breakages must be notified to us immediately.
You will be liable for the cost of all damage, loss or breakages.
The cost will be deducted from your security deposit or charged separately. If the damage is discovered after you depart, you will be notified in writing as soon as is reasonably practicable. We also reserve the right to charge if we are unable to re-let the accommodation as a consequence of the damage.
Noise and Nuisance
You must not cause a nuisance or disturbance to neighbouring accommodation or behave in an unreasonable way. The playing of music or making any noise which is clearly audible in nearby accommodation is not permitted after 11pm. If we consider that guests are in breach of this policy, then we reserve the right to ask you to leave immediately. You will not be entitled to a refund for the balance of your stay.
Maximum occupancy
The maximum occupancy for your accommodation is stated in the brochure/website. This must not be exceeded and additional overnight guests must not be accommodated on our property under any circumstances. Breach of this policy will render you liable for further charges, calculated on a pro-rata basis. Alternatively we reserve the right to ask you to leave immediately.
Smoking Policy
We are a No Smoking Establishment. If we find that guests have been smoking in the accommodation, then we reserve the right ask you to leave immediately. Whether or not you are asked to leave, we also reserve the right to charge further sums if we are unable to re-let the accommodation whilst it is fully aired. You will be notified in writing as soon as is reasonably practicable if evidence of smoking is discovered after you depart.
Doggy Code of Conduct:
_ We ask that your dog(s) be kept on a lead in the yard, you are more than welcome to let them stretch their legs off their lead in your lodge's own enclosed garden.
_ Please be aware that we do have a cat who is wise around dogs and generally stays out of the way when he sees dogs he doesn't know..
_ Kekaroka Lodge is surrounded by fields and from 1 April to 1 December are grazed by sheep and lambs. It is very important that dogs are kept on a lead when walking through the fields.
_ Dogs are not allowed on furniture or in bedrooms and on beds in the lodge. Stair gates can be provided on request to help control where your dog is free to wander in the lodge. An extra cleaning fee will be charged where there is evidence of pets being on beds and/or furniture.
_ If you are part of a group booking your dog(s) must remain in the lodge they have been booked into. If you wish for your dog to be able to go in and out of the additional cottages that are part of your booking, the £25 pet fee will need to be made for those bookings too as additional cleaning will be necessary. This of course will mean ensuring other cottages in your booking are also pet-friendly.
_ Pets must be booked and paid for in advance. Any dogs arriving not by prior arrangement will need to be accommodated in a local kennel.
_ Dogs are not allowed to be left unattended in the lodge unless you bring your own cage for pets that are unlikely to bark and disturb other guests. A list of walks as well as pet friendly pubs is provided to help you plan on taking your dog(s) with you when you go out.
_ We regret that “chatty dogs” who bark and are therefore likely to disturb guests in neighboring cottages are not welcome at Kekaroka Lodge.
_ When returning from adventures with a muddy dog, please use the outside tap and pet towels provided to clean off your dog(s) before allowing them back in the cottage. Under no circumstances must white guest towels be used for pets.
_ Please pick up pet mess when out with your dog, including the lodge garden, the courtyard, lane and surrounding fields as these are also for the enjoyment of other guests. Outside bins are provided by each cottage for disposal of bagged pet mess.
_ Dogs will enjoy stretching their legs off their lead in the lodge's enclosed garden. Please make sure that gates are closed to ensure your pet is contained and under your supervision. You should check your pet is safely enclosed in your garden before leaving it unattended.
_ If your dog(s) or puppy chews or damages furniture, carpets, bed linen etc and it is not possible for us to clean or repair them in keeping with our high standards, you will be responsible for the costs incurred in replacing damaged/stained items. If the damage is discovered after you depart, you will be notified in writing as soon as is reasonably practicable. We also reserve the right to charge if we are unable to re-let the accommodation as a consequence of the damage
_ When walking with your dog you must obey the Countryside Code and keep your dog(s) under close control at all times for their own safety as well as the comfort of others
_ On your departure, please leave the lodge as you would wish to find it. Excessive cleaning will incur an additional £50 fee.
Hot Tubs
1. Please shower or bath before using hot tub as deodorants, make up, skin creams etc affect the chemical balance of the water. Do not allow water to become contaminated in any way.
2. Do not eat or smoke in the hot tub.
3. Only use plastic glasses provided outside on the decked area or in the hot tub.
4. Do not allow the water to overflow from the hot tub eg. Too many people in at once. If the level drops too low the pumps are starved of water and will burn out.
5. Do not sit or put anything on top of the hot tub cover. It is not strong enough to carry any weight.
6. So as not to disturb your neighbours, Hot tubs must not be used after 11pm.
7. On arrival, the hot tubs may not be up to full temperature due to the water having been changed that day.
Leisure Club
We will continue to make the leisure club facilities available to our guests as long as it is economically viable for us to do so. We shall not be liable to pay any compensation should these facilities not be available for any reason.
Our Liability
We do not accept any liability for damage to your property or injury to you (or other members of your party) whilst on our premises unless caused by the negligence of us, or our employees.
Data
Any data collected as a result of your booking will be stored in accordance with the provisions of current Data Protection legislation.“ We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. By accepting these terms and conditions you are indicating your consent to receiving these communications from us unless you let us know otherwise, which you can do at the point of booking by ticking the Marketing Notes box in the extras section. If at any time you would like your details removed from this list all you need do is to click the unsubscribe link on any of the emails or contact us on hello@kekarokalodge.co.uk and we will arrange for you to be removed from the database”
Law
Any dispute between us will be governed by the non-exclusive law of the English Courts.

As part of your booking you are required to accept our Terms & Conditions which also
includes agreeing to keep to our “Doggy Code of Conduct” which is essential in keeping
our cottages in pristine, clean condition for all of our guests.
